MOVE-IN
Each vendor will be assigned a specific date and time to set up their booth. These assignments will be communicated via a color-coded map posted below 30 days prior to move-in. Driving into the building, if feasible, is only allowed during your assigned date and time. Hand carry or pushcart move-in is allowed any time during and/or after assigned time. Check the move-in map to see what day you are able to drive in.

MOVE-OUT
Exhibitors may only drive into the building during the scheduled times.
6:01 pm - 8 pm
RED SECTION is last in, first out. Booths in this section must move out Sunday immediately following show close to clear a pathway to loading dock doors. Exhibitors located in the RED ZONE will be provided a Dock Pass, allowing your vehicle to proceed to the front of the line.
8:00 pm- 10 pm
ALL SECTIONS are encouraged to begin breaking down their exhibit space while the red section is cleared. Exhibit space must be COMPLETELY disassembled before vehicle will be permitted to drive into the building.
Move-out hours are:

Monday, January 27th 7:00 am – 11:00 am
All Booths must be removed by 11AM Monday, January 27th, 2025

Upon arrival at the facility: Go to the On-site Show Office to pick up your exhibitor badges. The On-site Show Office is located on the upper southeast side of the building.
Beginning the Friday the show opens, all exhibitors will need a badge to enter the show. Your badge will be good for the entirety of the weekend and you may enter from the main attendee entrance or the loading dock entrance.
Badges should be picked up at the show office desk during move in to be passed out to your team working the booth. If a team member is unable to receive one before the show, make sure another team member will be able to meet them at the entrance to pass them a badge or put the badge in Will Call. Your workers will not be able to get through security/ticket takers without a badge. Please do not wait until the morning of the show to come get them, as you won't be able to get through security to enter the building without a badge.
Badge quantities given out are based off of booth size. Booths smaller than 400 sq. ft. are allotted 5 badges. Booths 400 sq. ft. and larger are allotted 10.
Exhibitor badges are not to be used as admission tickets for those you are inviting to attend the show.
Exhibitors are responsible for flooring (required for all booths, except in the ballroom). You may supply your own flooring, tables, and chairs or rent from the show decorator. An advanced purchase discount is offered and will ensure availability of all needed items.
As an exhibitor, you will automatically receive an email introduction email from Liberty Expo with a username and temporary password.
After you've logged on you will be able to order services. Should you have any questions or need to have the introduction email resent, please contact Liberty Expo Exhibitor Services.

Electricity, telephone service, cable, water for exhibits (filling and draining services) and compressed air connections are provided through the Overland Park Convention Center for a fee.
Complimentary Wi-Fi will be provided at the show. A dedicated hard line can be installed for additional fees.

The Overland Park Convention Center offers free wifi. When you arrive at the show find "OPCC FREE" and connect.

Exhibitors will receive a total of (40) complementary e-tickets per company. We encourage you to send them out to potential clients, friends, family, or as a thank you to current customers.
These are sent out via email approximately 30 days ahead of the show. The email will come from noreply@mail3.microspec.com. Please note, this email can get sent to your spam folder. Please check there first before reaching out if you are unable to find them.
If you wish to leave physical tickets at Will Call, you may allocate them to yourself, then print tickets and bring them to the show.
COMPLIMENTARY TICKETS ARE NOT PERMITTED TO BE DISTRIBUTED AT THE ENTRANCE TO THE SHOW.

Exhibitors must have permission from show management before giving out samples of consumables or selling consumables of any kind.
The City of Overland Park no longer issues Temporary Food Vendor permits. The State of Kansas (Department of Agriculture) will continue to regulate food operations and should be your sole contact for licenses and inspections moving forward.

Flooring is REQUIRED for all booth spaces. Floors within exhibit space must be 100% covered with carpet, astroturf, vinyl flooring, etc. You may bring in your own or rent flooring from the show decorator. Please only use gaffers, masking, or painters tape to tape down your flooring (or anything you may be taping to the venue concrete floor). Any carpet extending into the common aisle is subject to being cut and removed.
The use of duct tape, gorilla tape, or any other not approved tape may result in damage to the venue floor and repair/cleaning costs charged to the offending exhibitor.
- All vendors must have either an "Event Registration Certificate" or a State of KS "Sales Tax Registration Certificate" displayed in a visible location during the event.
- The State of KS supplies Event Registration Certificates showing the current sales tax rate . These will be available to pick up when checking in at the On-site Show Office or COMING SOON to download a copy.
- You must collect and remit sales tax at the rate shown within 30 days of the event. Marketplace Events will submit a list of all participants to the State of KS for auditing purposes.

A few things to be aware of:
- Exhibitors will have to pick the show from a drop-down list that includes shows other than just those run by MPE.
- Marketplace Events is not selling this insurance and doesn’t profit from it in any way. This is simply a resource for those exhibitors who don’t already have the required insurance coverage per their contracts.
The Insurance clause is #5 on the Terms and Conditions page of all booth space contracts. For easy reference, exhibitors are required to have:
- Comprehensive General Liability and All Risk Property insurance
- Coverage must be from the start of move in to the end of move out
- Coverage of at least $1,000,000 for each separate occurrence
- Name Marketplace Events LLC and the venue as additional insured
- Provide a copy of certificate of insurance to MPE

Reminder that no outside food or drinks are allowed in the Overland Park Convention Center on show days.
A hard candy dish provided complimentary by an exhibitor at their booth may be exempt, as long as the candy is bite sized and individually packaged.
Your basic listing will be uploaded to the website when you book your booth. Within 24 hours you will receive an automated email to enhance your listing. This link can be used multiple times and you can make updates and changes to your listing until ONE day after the show commences. There have been a number of spam emails offering our attendee lists. These are scams and the senders are unauthorized to use the Marketplace Events’ name. These scammers are attempting to receive monies from exhibiting companies without providing anything in return. These emails are not approved by Marketplace Events, and Marketplace Events would never ask for bank information or other sensitive information over email.
